We are looking for a Property Administrative Assistant to join our client's team based in Surrey, British Columbia. This contract/temporary role is within the real estate industry, providing vital support to our commercial and residential property portfolios.
Responsibilities:
• Facilitate the smooth operation of property management by providing administrative support
• Maintain and update the property management database, ensuring accurate entry of data, billings, payments, and changes regarding owners and tenants
• Draft, distribute, and keep track of tenant-related correspondence for various buildings
• Collaborate closely with the Property Manager on important documents such as billing, reporting, rent rolls, and leases
• Review and compile internal and external invoices and documents, and manage paperwork for new vendors
• Ensure that all operational files, tenant emergency contacts, and service contracts are current and accurate
• Generate and submit weekly and monthly reports as required
• Handle tenant service requests and bill tenants when necessary
• Report to management on tenant arrears and delinquency
• Interface with key departments and personnel such as executives, management, accounting, and finance
• Attend and support the Property Manager during Annual General Meetings and Council Meetings
• Deliver notices or other documentation to various buildings as needed.
Requirements
• Minimum of 1 year of experience as an Administrative Assistant
• Demonstrable knowledge and experience in Real Estate and Property Management
• Proficiency in using Microsoft Excel is mandatory
• Exceptional written communication skills
• Strong interpersonal and communication skills
• Experience in handling both inbound and outbound calls
